Southport Golf Tours undertakes to provide all services offered subject to the booking conditions set out below, which are accepted by all the participants once a deposit is made.
All tours and prices are subject to change and availability.
Southport Golf Tours act as an agent in your Golf Tour. The contract is between the group leader and the Service Providers – Golf Club, accommodation provider and or Transport providers. Service Providers conditions are available from Southport Golf Tours on request.
Provisional Tour Itinerary
When you make an enquiry for a Golf Tour we will create either a single or a number of options based on your requirements and based on Course, Hotel and Transport availability. This itinerary is provisional and if requested we will make provisional bookings for courses, hotels and transport once the Group Leader selects the required option. These provisional bookings are not confirmed until the required deposit has been made and we have issued the Confirmed Tour Itinerary.
The Tour price will be in £ Sterling. Value Added Tax (VAT) is chargeable as appropriate at the prevailing rate. We reserve the right to change prices if there are any changes in the rate of VAT.
Deposit and Confirmed Tour Itinerary
In making a booking, the Group Leader acts on behalf of all group members and is responsible for all payments made to Southport Golf Tours.
In order to finalise a booking, a non-refundable deposit is required to be paid to Southport Golf Tours. The amount required is quoted in the Provisional Tour Itinerary and the booking is confirmed when the providers (golf clubs, accommodation and/or transport companies) accept and acknowledge the non-refundable deposit. Payment of the non-refundable deposit also confirms your acceptance of our booking conditions.
Please note that all deposits paid are non-refundable as per the terms of the service providers (golf clubs, accommodation and/or transport companies). SGT recommends that you take out Tour Trip Insurance to protect yourself against loss of deposits.
In the majority of cases, final balances will be paid one month prior to arrival. Any exceptions will be notified at the time of the request for the deposit and full terms and conditions relating to each booking will be outlined before the deposit payment is processed.
In the case of resort hotels and for large groups of golfers, the service provider will often require the Group Leader to sign a contract. This will contain the payment terms. This agreement is between you and the service provider. Under no circumstances will SGT be able to negotiate refunds for any reductions in numbers. To protect yourself against losses, SGT recommends that you take out Golf Tour Trip Insurance.
Details for final payment arrangements and payment dates required will be contained in your Confirmed Itinerary. If you do not meet these payment conditions, Southport Golf Tours reserves the right to cancel your golf tour and retain your deposit. For any part of the final payment that is made in advance, we will detail the refund policy in your Confirmed Itinerary.
We accept the following credit / debit cards: Maestro, Mastercard, Visa, Visa Electron,Diners Club International, V Pay, Discover and JCB.
We accept payment by Cheque made payable to “Southport Golf Tours Ltd”.
Alternatively we accept Bank Transfer. Please contact us for our Bank details.
If you change Your Confirmed Booking
We understand that from time to time there may be the need to make changes to your Confirmed Golf Tour. All changes must be advised to Southport Golf Tours in writing by the Group Leader, quoting the booking reference. Southport Golf Tours reserve the right to charge an administration fee of £20 per alteration. Non-refundable deposits and payments already made may be lost.
Cancellation of your Golf Tour by Southport Golf Tours
Southport Golf Tours reserves the right to cancel a tour if circumstances so require. In the event of such, Southport Golf Tours will make a full refund to the Group Leader of all payments received in respect of the tour. This will be the full extent of Southport Golf Tours’ obligation and liability to the client.
Cancellation of your Golf Tour by the Group Leader
Notification of cancellation by a client must be forwarded in writing to Southport Golf Tours by the Group Organiser. Penalties for cancellation are based on the conditions of the Service Providers, which will be provider with your confirmed itinerary and are available from Southport Golf Tours on request. Please note that all deposits paid are non refundable as per the terms of the Service providers.
Southport Golf Tours recommends that you have luggage, accident and trip cancellation insurance. Southport Golf Tours will not be held liable for loss, damage or theft of luggage or personal belongings, personal injury, illness or accident. It is important for your own self-interest and protection that you make certain you have adequate coverage. Check with your insurance company for further details.
Southport Golf Tours also strongly recommends you take out comprehensive car insurance if renting your own vehicle for the tour. On independent tours with a rental car, all drivers must be over 21 years of age, and under 65.
It is the responsibility of each Group Member to ensure that they possess all the necessary documentation i.e. passport, visas, and any other travel documentation. Southport Golf Tours will not be liable for loss of service due or extra expense incurred due to a lack of such documentation. No credit or refund will be given for any unused services included in the tour price or for any lost, mislaid or destroyed travel documents.
If hiring buggies from any of the golf clubs, the hirer must possess a current valid driving licence. This must be provided at the time of hire.
All members of the group must carry current handicap certificates. Many courses will require handicap certificates before accepting visitors on the course. Southport Golf Tours will advise you at the time of booking if any of the courses on the tour have a maximum handicap restriction. We accept no responsibility if you are refused play due to an inability to comply with the course’s requirements.
Appropriate dress should be worn at all times on the course and in the clubhouse. Your Confirmed Tour Itinerary will advise the requirements at each course on your tour. Southport Golf Tours accepts no responsibility if any of the group are refused access to the course or the clubhouse due to inappropriate attire.
We make every effort to ensure the accuracy of our descriptions of services, accommodation and information provided. However we are not always able to control all elements of the tour and it is possible that facilities may be withdrawn or changed due to weather conditions, maintenance, or other circumstances beyond our control. We will advise you of any major changes of which we are aware.
We will make every endeavour to confirm your requested tee-times but courses do reserve the right to alter preferred tee-times. We will always offer you the nearest possible alternative.
Although the standard of the courses we have selected is generally excellent we are unable to always be aware of when course maintenance may be undertaken. Southport Golf Tours can therefore not be held responsible for the condition of the golf courses during your tour. We will of course advise you when we are made aware of planned course maintenance.
Southport Golf Tours will not be liable for additional expenses incurred through travel delay, Acts of God, force majeure or events beyond our control. Force majeure is unusual and unforeseeable circumstances beyond our control such as war or threat of war, riots, civil unrest, terrorist activity, industrial disputes, natural or nuclear disaster, fire or adverse weather conditions.
All Tour Prices are quoted in £ Sterling.
Prices do not include flights & airport taxes, golf club hire, golf cart or car hire fees, caddies ,fuel, sightseeing, telephone calls, laundry, entertainment arrangements not specified in the itinerary, all meals, drinks and beverages not specified, , gratuities and any other items of a personal nature.
If you have a complaint while on tour you should immediately notify the local Service provider (golf club, accommodation and transport provider) and inform Southport Golf Tours at the earliest opportunity. If the matter is not resolved full details must be forwarded in writing to our office within 28 days. If you do not act immediately and Southport Golf Tours or our Service Providers are left unaware of the problem it will not be possible for us to resolve your complaint and you effectively forfeit any claims against us.
This contract shall be governed by and interpreted in accordance with the Law of England. Both Southport Golf Tours and you, the client, agree to submit to the exclusive jurisdiction of the English Courts.
